The Opportunity

Valvoline has a rewarding opportunity as a Property Administration Analyst. This role will provide analytical, administrative, and other support as needed, for Valvoline’s Corporate Real Estate Portfolio for both owned and leased properties across the US and Canada. The role focuses on lease and property data management, financial and performance analysis, compliance tracking, and reporting to support strategic decision-making across office, corporate, and retail sites. Key responsibilities include initial lease abstraction, review, and critical date tracking, processing payment and billing for all domestic leases and receivables, and reconciliation of additional expenses. This role will report to the Corporate Real Estate Manager.

 

How You'll Make a Difference

  • Maintain accurate property, lease, and tenant records in CoStar
  • Strong communication skills
  • Vendor/Customer Set-up: Obtain vendor documentation (W9, ACH), process changes and maintain all records of changes in CoStar and update accordingly
  • Support the Property Administration Analyst II in maintaining all Valvoline leased and fee properties via CoStar property management system. Including lease review, lease data abstraction, initial property and file set-up, abstraction of critical dates, reminders, options/rights/clauses for all new and/or renewed properties, etc.
  • Accurately process payment and invoicing of all lease rents and receivables in a timely manner
  • Ability to manage large data sets, multiple deadlines, and analyze property-related data (rent, CAM, occupancy, etc.)
  • Prepare regular and ad hoc reports for management and stakeholders
  • Ability to work cross-functionally (tax, insurance, accounts payable, accounts receivable, etc.) to provide and/or direct the search for pertinent information from all properties and assets
  • Reconcile property income and expense data with Property Accounting and Finance teams
  • Must have strong analytical and data interpretation skills
  • High attention to detail and accuracy
  • Strong organizational and time-management skills
  • Support budgeting and cost tracking for property portfolios
  • Review invoices and other cost recoveries for accuracy and compliance
  • Assist with audit preparation and responses
  • Ensure property documentation complies with legal and internal standards
  • Problem-solving mindset with a continuous improvement focus

What You'll Need to Succeed

  • Bachelor’s degree in Real Estate, Finance, Accounting, or related field
  • Minimum of 2-5 years of experience with property administration, portfolio management and reporting, or analytical roles
  • Knowledge of lease data, property management, accounting systems (SAP, CoStar, etc.), basic real estate documentation (leases, tenant estoppels, etc.)
  • Must be authorized to work in the U.S.
