The Opportunity

Valvoline has a rewarding opportunity as a Maintenance Program Manager. In this role, you will be responsible for managing major vendor program relationships and contracts associated with the maintenance, repair, and operations of all Valvoline Instant Oil Change (VIOC) facilities. This role ensures that all services are delivered within SLA and budget while maintaining high-quality standards. The program manager also develops and monitors vendor performance metrics, ensures compliance with safety and operational standards, and supports continuous improvement efforts.

How You'll Make a Difference

  • Vendor Management
    • Oversee relationships with all maintenance vendors, ensuring adherence to contract terms, service levels, and performance metrics.
    • Conduct regular reviews and audits of vendor performance, ensuring quality and timeliness within the contract budget.
    • Negotiate contracts and service agreements, ensuring the best possible terms for the organization.
    • Address vendor issues promptly and professionally, resolving disputes and enforcing compliance where necessary.
  • Program Development and Management
    • Develop and implement comprehensive maintenance vendor management programs, policies, and procedures.
    • Create and manage annual budgets for vendor services, tracking expenses and identifying cost-saving opportunities.
    • Establish and monitor key performance indicators (KPIs) for vendor services, reporting results to senior leadership.
    • Coordinate services to ensure minimal disruption to business operations.
  • Compliance and Quality Assurance:
    • Ensure all vendors comply with company policies, safety standards, and regulatory requirements (e.g., OSHA, EPA).
    • Lead audits of vendor services to ensure alignment with quality standards and industry best practices.
    • Collaborate with the internal EH&S and safety teams to identify risks and implement corrective actions when necessary.
  • Continuous Improvement
    • Identify opportunities for process improvement in vendor management and services.
    • Implement best practices and innovative solutions to optimize efficiency and reduce costs.
    • Stay updated on industry trends and emerging technology to enhance program effectiveness.
  • Cross-functional Collaboration
    • Partner with operations, procurement, and finance teams to ensure a seamless vendor management process.
    • Serve as the primary point of contact between internal stakeholders and external vendors, fostering effective communication channels.
  • Other duties and responsibilities as determined by Valvoline from time to time in its sole discretion.

What You'll Need to Succeed

  • Bachelor’s degree in business administration, facilities management, engineering, or a related field
  • Minimum of five years of experience in vendor management, maintenance operations, or facilities management, with at least two years in a managerial role
  • Strong knowledge of maintenance practices, including HVAC, electrical, plumbing, and general building maintenance
  • Experience working with larger budgets
  • Facilities Management Professional (FMP) or Certified Facility Manager (CFM) is preferred
  • Proven contract negotiation and vendor relationship management skills
  • Excellent project management skills, with the ability to manage multiple priorities and deadlines
  • Strong analytical skills, with the ability to track and report on key performance metrics
  • Excellent communication and interpersonal skills, with the ability to influence and negotiate effectively
  • Proficiency in maintenance management software (CMMS) and Microsoft Office Suite (Excel, Word, PowerPoint)
  • Problem-solving and decision-making skills
  • Detail-oriented with strong organizational skills
  • Ability to work independently and in a team environment
  • Leadership skills, with the ability to lead cross-functional teams and drive performance improvements
  • Must be authorized to work in the U.S.
