Henley Enterprises, Inc., Henley Pacific LLC, and our associated entities are privately-owned Franchisees of Valvoline Instant Oil Change (VIOC) and currently operate over 225 VIOC locations in Massachusetts, New Hampshire, Rhode Island, Maryland, Virginia, Delaware, Florida, and California. The Company has grown rapidly and is projecting continued growth moving forward. This position works from the Orange, CA Office with hybrid potential and reports to the HR Business Partner – West Coast.

 

POSITION SUMMARY:

The Employee Relations Specialist supports Company objectives and performance by serving as a front-line advisor on Human Resources related issues including Company HR policies/ procedures/ processes and HR best practices. The Employee Relations Specialist communicates proactively with employees and field managers, HR department coworkers, regional support staff and other corporate functional areas to deliver value-added services to employees and management reflective of the core values and business objectives of the organization. Position responsibilities include some key Human Resource administration duties.

  • Provide direction to field staff on Henley Team Member (TM) related policies and procedures such as requests for Vacation, PSL (Sick Time), Bereavement, Jury Duty, referral to the Benefits department for leave of absence, healthcare, and 401k information, etc.
  • Be a resource and help field staff locate requested info within the Handbook or systems resources such as UKG PRO and Dimensions, MyHenley etc.
  • Guide Service Center Managers (SCMs) in the performance management of team member attendance and other general workplace policies, assisting them in identifying behaviors and considering appropriate corrective action.
  • Provide front line advice / coaching to Service Center Managers and appropriately escalate more complex concerns to the HRBP for resolution.
  • Handle Employee Relations calls from current and former Team Members; providing intake reports to HRBP for follow-up.
  • Research and resolve Team Member concerns regarding compensation/pay rate, time off with pay accruals, or personal info/record updates.
  • Audit weekly reports and data and follow up as necessary (e.g., review the weekly Unpaid Report and follow up with SCMs to determine why certain active TMs show no earnings for the pay week).
  • May support the coordination of employee separation paperwork (including, where applicable, timely coordination of preparation of Final Pay), processing the change in the system and sending out post-separation paperwork.
  • Other HR administrative duties and support as assigned, including but not limited to, status change and separation processes; communication and implementation of new HR programs and policies; handbook/policy updates; etc.

  • Ability to interact with people at all levels and manage difficult interpersonal situations/conversations
  • Proficiency in HR employment laws and best practices including but not limited to: CA State employment regulations, COVID, ADA, FMLA, EEOC, Positive Work Environment, Drug Free Workplace, etc.
  • Proficiency and/or facility to quickly learn effective operation/administration of the Human Resource Information System (currently UKG PRO), and Workforce Management System (Currently UKG Dimensions), including producing business analytics through report-writing
  • Competency in MS Office applications (Outlook/Email, Excel, Word, Power Point, etc.)
  • Well organized; ability to effectively multi-task various projects and priorities to completion with high attention to detail
  • Ability to professionally handle confidential and sensitive information: natural tendency towards discretion

Education and Experience

  • 1 - 2 years of experience with Human Resources disciplines within a multi-unit, multi -state retail environment (including CA); may include experience as a front-line manager or HR-related field support capacity (recruiting, training, etc.)
  • Associates Degree or BA/BS degree with emphasis in HR or equivalent work experience
  • PHR/SPHR Certification, and/or commitment to achieve/maintain HR certification for continued professional growth.

 

ENVIRONMENT & PHYSICAL REQUIREMENTS

  • 90% of work in a climate-controlled internal office environment working under normal office conditions.
  • While performing the duties of this job, the employee is regularly required to sit, stand, walk, use hands and fingers to feel and handle, reach with arms and hands, talk, see and hear. While performing the duties of this job, the employee may incidentally be required to stoop, kneel, and crouch, lift weight, or exert a force up to a maximum of 25 pounds.
  • A current valid driver’s license and insurability rating is required; occasional travel by vehicle may be required.
  • Infrequent overnight travel to other regions may be required.
